Step 1: Set the rule for “cold lead”


In your CRM, create a view or filter: “no reply and no meeting booked after 3 days.”

Step 2: Connect apps

In Zapier or Make, connect your CRM, Twilio or MessageBird, and OpenAI. Add your booking link as a CRM field.

Step 3: Create the automation (first SMS)

Trigger: New or updated contact appears in “Cold Leads” view.
OpenAI step: generate the SMS.

Step 4: Delay and send the second SMS


Delay: 2 days.
Only continue if there is no reply and no booking.


Prompt:
“Write a 160-character SMS sharing a quick win: {CaseStudy}. Invite to book at {BookingLink}. Keep it helpful.”


Send and update CRM. Set last_sms_variant = 2.

Step 5: Delay and send the third SMS

Delay: 3 days. Only continue if still no reply and no booking.


Prompt:
“Write a 160-character SMS offering a 15-minute quick chat. Include {BookingLink}. Friendly and concise.”
Send and update CRM. Set last_sms_variant = 3.

Step 6: Handle replies and opt-outs

Set a Twilio or MessageBird webhook to Zapier or Make.

âś… If reply contains STOP, END, or UNSUBSCRIBE: confirm and mark opted_out = true in CRM.
âś… If reply is positive: create a task for the owner and send the booking link again.
âś… If booked: mark lead as booked and stop the sequence.

Step 7: Keep it compliant and effective


Send only during business hours in the lead’s timezone.

Include opt-out info where required: “Reply STOP to opt out.”


Track clicks with UTM on your booking link. Watch reply rate, booked calls, and opt-outs.

Step 8: Test and go live


Test on two to three internal numbers. Verify links, timing, and CRM updates. Turn it on for a small lead segment, then scale.
